Video Conferencing Room Cost Factors: What Drives the Budget in the UAE

By Trianze Tech Team

Planning a video conferencing room budget? Book a site survey or WhatsApp our AV consultants and we will recommend the right system for your room.

The cost of a video conferencing room is set mainly by room size, because that decides the camera and microphone tier, and then by the display, the platform (a USB bar with a laptop or a Teams Rooms or Zoom Rooms appliance), any extra microphones or cameras, control and booking, acoustics, and installation and support. We do not publish prices because every room is different; this guide shows what moves the budget up or down so you can plan.

1. Room Size and Seat Count

A huddle room for four needs a compact bar; a boardroom for sixteen may need a camera system and ceiling microphones. Listed coverage in our range runs from rooms up to 15 x 10 feet for the Poly Studio X32 to 28 x 15 feet for the Poly Studio X72. Our video bar by room size guide matches each room type to real models.

2. Display Size and Number of Screens

One 55 or 65 inch screen is enough for a small room; large rooms often use a 75 to 98 inch display or two screens, one for people and one for content. An all-in-one display combines screen and camera in one device, which can simplify a small room.

3. USB Bar or Room Appliance

4. Extra Microphones and Cameras

When the far end of the table is beyond the bar's pickup distance, add expansion microphones or ceiling microphones. Wide or deep rooms may need a second camera or a PTZ camera such as the Yealink SmartVision 80.

5. Control, Booking and Sharing

A touch controller on the table, a room booking panel at the door and wireless presentation for guests each add to the room but make it easier to use and book.

6. Acoustics and the Room Itself

Glass walls, hard floors and high ceilings cause echo. Soft furnishings or acoustic panels can improve call quality more than a more expensive bar.

7. Mounting, Cabling and Network

Wall mounts or carts from our mount range, power and network points at the display, cable routing through furniture and any network changes for the room system all belong in the budget.

8. Installation, Testing and Support

Installation, programming, testing from every seat, user training and an annual maintenance contract keep rooms working. Standard room templates repeated across an office reduce design and support effort.

What Usually Lowers the Budget

  • Choosing the bar for the room you have, not the next size up.
  • Reusing a suitable commercial display that is already installed.
  • Fixing acoustics before adding microphones.
  • Standardising on one design for similar rooms.

Frequently asked questions

What affects the cost of a video conferencing room?

The main factors are the room size and seat count, which set the camera and microphone tier; the display size and number of screens; whether you use a USB bar with a laptop or a Teams Rooms or Zoom Rooms appliance; extra microphones or cameras for long tables; control and booking panels; acoustics; cabling and mounting; and support after handover.

Is a USB video bar cheaper than a Teams Rooms system?

A USB bar usually means less equipment in the room because the user's laptop runs the meeting, but it relies on people bringing and connecting a laptop. A Teams Rooms or Zoom Rooms appliance includes its own computer and touch controller, so the room is simpler to use. Platform licences can also apply to room systems, so compare the full setup, not just the bar.

Do I need ceiling microphones?

Not for most huddle, small and medium rooms, where the bar's microphones reach every seat. Ceiling or table microphones become worthwhile in large rooms and boardrooms where people sit farther away than the bar's listed pickup distance, for example beyond about 6 to 10 metres.

Can I reuse my existing display?

Often yes. If the existing display is a commercial screen of the right size with a free HDMI input, it can usually be paired with a new video bar. We check the size against the room, the input, the mounting and the remaining warranty during the site survey.

How many rooms should I plan at once?

Standardising on one or two room designs across an office makes support, training and spare parts simpler. Many companies plan huddle, medium and large room templates and roll them out floor by floor.
